Senior OTIS members will be responsible for leading OTIS throughout orientation week alongside the two Heads of OTIS. They will also assist in hiring and training OTIS members in their respective positions during Pre-week (the week before Orientation Week). They will ensure proper safety procedures and have smooth communication between Orientation Leaders, First-Year students, as well as all other involved orientation parties.
We are seeking organized and dedicated individuals, with a strong passion for Orientation Week. Each role is detailed below:
Setup Coordinator (1 position available)
The Setup Coordinator will oversee the preparation for Orientation Week events by collaborating with Logistics Coordinators and Head OTIS, in addition to leading a team of OTIS volunteers. This role ensures all materials, equipment, and spaces are ready for use in alignment with event schedules. While direct communication with vendors is handled by Logistics Coordinators, the Setup Coordinator plays a vital role in executing plans and ensuring readiness.
Key Responsibilities:
· Work closely with Head OTIS to implement event setup plans.
· Lead and manage OTIS volunteers during setup, ensuring tasks are completed efficiently and safely.
· Follow detailed checklists and timelines provided by Head OTIS.
· Conduct pre-event inspections to ensure readiness and report any issues to the Head OTIS.
· Communicate with Head OTIS to ensure seamless handoffs for event start times.
Takedown Coordinator (1 position available)
The Takedown Coordinator will manage the post-event clean-up and organization of Orientation Week venues. They will collaborate with Logistics Coordinators, Head OTIS and oversee OTIS volunteers to ensure that materials are accounted for, stored, or disposed of properly. This role does not involve vendor communication but focuses on executing plans developed by Logistics Coordinators and Head OTIS.
Key Responsibilities:
· Coordinate with Logistics Coordinators and Head OTIS to understand and execute takedown plans for each event.
· Lead OTIS volunteers in safely dismantling setups and organizing materials.
· Manage the inventory and storage of event equipment and supplies.
· Ensure venues are left clean and in compliance with standards discussed Logistic Coordinators previously.
· Address any issues during takedown and report them to the Head OTIS.
Day Activities Coordinator (1 position available)
The Day Activities Coordinator will oversee the execution of daily Orientation Week activities, ensuring they run smoothly and align with plans developed by the FC Day Coordinators. This role involves working with OTIS volunteers and communicating closely with the Setup and Takedown Coordinators to address activity-specific needs.
Key Responsibilities:
· Coordinate with Head OTIS and Logistics Coordinators to understand daily activity requirements.
· Lead OTIS volunteers in facilitating activities and maintaining participant safety.
· Communicate with Setup and Takedown Coordinators to ensure smooth transitions between events.
· Monitor participant engagement and troubleshoot issues during activities.
· Facilitating the different stations that are being run each day.
