The First Year Integration Conference is an annual Ontario-wide conference that attracts first-year engineering students from across the province to help integrate them into their first year of university. Delegates participate in sessions designed to develop leadership potential, break down first-year barriers, and provide insight into the ever-expanding world of engineering. Queen's will be hosting the conference in November 2025 and we aim to give a fun and insightful welcome to inspire first year engineering students across Ontario.

We are seeking organized and dedicated individuals for our team of Directors. Descriptions for each role are laid out below:

Logistics (2 positions available)

The Logistics Director will oversee a team of coordinators to manage the conference schedule, organize accommodations, and ensure the events run smoothly. The main responsibilities of the Logistics Coordinator are:

  • Coordinate with hotels, catering services, and transportation providers to manage accommodations.
  • Ensure all logistical needs are met for delegates and speakers according to a planned timeline.
  • Plan and manage various social events.
  • Oversee a team of four Logistics Coordinators.

Communications (1 position available)

The Communications Director will manage a team of coordinators to promote the conference and develop its external image. The main responsibilities are:

  • Develop and execute marketing strategies to promote the event.
  • Collaborate with the Marketing Coordinators to create engaging content for various social media platforms.
  • Ensure consistency and alignment of messaging across all communication channels.
  • Oversee 2 Marketing Coordinators and one Webmaster

Relationships (1 position available)

The Relationships Director will work with one speakers coordinator and two delegates coordinators to be the primary source of communication with speakers and delegates leading up to and during the conference. The main responsibilities and roles of the role include:

  • Communicate with potential and confirmed speakers for the conference.
  • Outreach to find and secure new speakers.
  • Maintain ongoing communication with speakers and delegates throughout the planning process.
  • Provide support to speakers for their presentations, and to delegates throughout the conference.
  • Work with delegates to ensure their needs are met and they have a positive experience.

Sponsorships (1 position available)

The Sponsorships Director will oversee 3 coordinators to find sponsors for the conference. The main responsibilities include:

  • Manage all aspects of sponsorships, including outreach, negotiation, and coordination with sponsors.
  • Oversee the efforts of Sponsorship Coordinators in engaging with potential and confirmed sponsors.
  • Negotiate sponsorship terms and agreements.
  • Maintain open lines of communication with sponsors throughout the planning process.

Finance (1 position available)

The Finance Director will oversee the budget and all financial aspects of the conference, along with one Financial Officer. The main responsibilities include:

  • Develop and oversee the event budget, ensuring alignment with overall financial goals.
  • Work closely with each director to ensure their financial needs are within the allocated budget.
  • Manage and securely store event funds, ensuring accurate and safe handling of all financial resources.
  • Maintain regular communication with the Bank of Engsoc to manage and monitor financial transactions.
  • Conduct financial transactions transparently and in accordance with event guidelines.

EDII (1 position available)

The EDII Director will ensure that all event decisions and planning processes adhere to principles of Equity, Diversity, Inclusion, and Indigeneity. The main responsibilities are:

  • Ensure the event is accessible to all attendees, regardless of background or abilities.
  • Identify and address any barriers to accessibility.
  • Advocate for diverse and inclusive practices within the organizing team.
  • Educate team members on EDII issues and promote a culture of inclusivity.
  • Gather feedback from attendees regarding inclusivity and accessibility, to continuously improve and enhance the event’s EDII practices.

These positions are open to all students that will be at Queen's for the Fall 2025 semester, including those students currently on internship. Applications will not be considered for those that will not be at school during that time. (i.e. those that will have graduated, be on internship, exchange, etc.)
